The short answer
An AI receptionist for travel agencies built on HighLevel Voice AI costs about $0.48 per answered call, or $96 a month for 200 calls averaging 6 minutes, phone line included. Roughly 70 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Take trip inquiries
Collect destination ideas, dates, travelers, budget and occasion, save them to contact fields, and book a planning call with the right advisor.
Answer booking policy questions
Explain your service fees, deposit and payment timelines, and how changes work, from the knowledge base, without quoting supplier prices.
Handle traveler emergencies
Take the traveler's name, location, trip and problem, alert or transfer to the on-call advisor immediately, and suggest contacting the airline, cruise line or hotel directly as well.
Handle document questions
Give only general reminders about passports and visas, and tell callers the advisor and official government sources confirm what each traveler needs.
What to send to a person
- Travelers stranded or facing an emergency abroad
- Cancellations, refunds and supplier disputes
- Complex itineraries and group contracts
- Insurance claims and medical situations during travel
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical travel agency: 200 calls a month answered by the AI, averaging 6 minutes. Phone minutes are billed per call and rounded up, so each call bills 6 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|

| Pay per use, speech-to-speech (OpenAI) | $240.00 | $13.98 | $254 | $1.27 |
| AI Employee Unlimited, $97 flat | $97.00 | $13.98 | $111 | $0.55 |

Compared with staff time
Those 200 calls take about 20 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $365, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling. I'm the agency's virtual assistant. Are you planning a new trip or calling about one you've booked?
CALLERPlanning. We're thinking about an Alaska cruise next summer for our anniversary.
AI AGENTWhat a lovely way to celebrate. How many travelers, and do you have dates or a budget per person in mind?
CALLERJust the two of us, sometime in July, maybe $4,000 each.
AI AGENTThanks. Our advisor who focuses on cruises can put options together. I have planning calls Tuesday at 6 p.m. or Wednesday at noon. Which works?
CALLERTuesday at 6.
AI AGENTYou're booked. I'll text you a confirmation and email a short form about cabin type and excursions so the advisor can prepare. Is this number best?
CALLERYes, thanks.
Prompt tips
- Tip 1Tell the agent never to quote supplier prices or availability, because fares and cabins change constantly; it collects details and books the advisor.
- Tip 2Write a separate emergency path for travelers already on a trip, with the on-call advisor's transfer number and hours, apart from the sales script.
- Tip 3Match advisors to specialties (cruises, Europe, destination weddings, groups) in the prompt, so each inquiry reaches the right calendar.
Rules to watch
Seller of travel registration. Some states regulate travel sellers. California requires sellers of travel to register with the Attorney General, and Florida requires registration from sellers with a business location in Florida or offering travel services there, with limited exemptions. Check the rules for your state and your clients' states, and never let the AI claim a registration you do not hold.
Passport and entry requirements. Entry rules depend on the traveler's citizenship and destination and can change, so the AI should never confirm that anyone has the documents they need. That check belongs with the advisor and official government sources, and the AI should say so.
