The short answer

An AI receptionist for churches built on HighLevel Voice AI costs about $0.24 per answered call, or $48 a month for 200 calls averaging 3 minutes, phone line included. Roughly 90 of those calls (45%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Answer visitor questions

Gives service times, parking, children's check-in and what to expect on a first visit, then texts directions to the caller.

Take prayer requests

Records the request with the caller's permission, sends it to the prayer team, and marks it confidential when the caller asks.

Route pastoral emergencies

Recognizes calls about a death, a hospitalization or a crisis, and transfers to the pastor on call or sends an urgent alert.

Schedule appointments

Books meetings with pastors or staff for wedding planning, baptism classes or counseling intake on their calendars.

What to send to a person

  • Funeral arrangements with a grieving family
  • Crisis or suicide-related calls
  • Counseling and confidential pastoral matters
  • Questions about donations or tax receipts

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical church: 200 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 200 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Sample call

Example AI receptionist call for a churchIllustration

AI AGENTThank you for calling Grace Community Church. I'm the church's AI assistant. How can I help you today?

CALLERHi, we're thinking of visiting this Sunday. What time are services?

AI AGENTWe'd love to have you. Services are at 9 and 11 am. The 9 am service has children's classes for ages 2 to 11, with check-in in the lobby. Will you have kids with you?

CALLERYes, two, ages 5 and 8.

AI AGENTGreat. Check-in opens at 8:40, and visitor parking is right by the main entrance. Can I text you directions and a map of the children's wing?

CALLERYes, please.

AI AGENTSent. If you fill out a connect card on Sunday, Pastor Mark will send you a note this week. Is there anything else I can help with?

CALLERNo, thanks so much.

Prompt tips

  1. Tip 1Put a crisis rule at the top of the prompt: any mention of self-harm means share the 988 Suicide and Crisis Lifeline and transfer to the pastor on call.
  2. Tip 2Describe the tone you want, warm and brief, and tell the agent that questions about doctrine or personal faith go to a pastor.
  3. Tip 3List who handles funerals, weddings and baptisms so the agent books the right staff member without guessing.

Rules to watch

Texts need consent. FCC rules require consent before autodialed texts to a mobile phone, and commercial texts need written consent. Collect texting consent on the connect card or membership form, keep it on the contact, and honor any reply asking to stop. The FCC's nonprofit exemption covers calls to residential landlines, not texts.

Automated calls to members. The FCC confirmed in 2024 that AI-generated voices are artificial voices under the TCPA. Tax-exempt nonprofits may make up to three artificial or prerecorded voice calls to a residential line in any 30 days without consent; calls to cell phones need consent first.

Giving acknowledgments. The IRS requires a written acknowledgment for any single contribution of $250 or more, naming the church and the amount and stating whether goods or services were given, or that they were only intangible religious benefits. The AI should route receipt requests to the finance team.

Questions

Should a church use an AI receptionist?
It can help a small office cover service times, visitor questions, event details and appointment booking, especially on days when nobody is at the desk. It must hand off quickly for pastoral care, deaths and crises, where a person should always respond, and it should be open with callers about being an assistant.
How will the AI handle grieving or distressed callers?
Through clear rules in the prompt. It should offer condolences, take the caller's name and number, and transfer to the pastor on call or send an urgent alert. For anyone in crisis, it should share the 988 Suicide and Crisis Lifeline, which takes calls and texts at 988, and keep the call brief rather than counsel.
What does an AI receptionist cost a church?
At our assumed 200 calls a month averaging three minutes, pay per use comes to about $36 for the voice engine and a standard voice plus about $7 of phone minutes, before AI model tokens. Calls are likely to rise around Easter and Christmas, and pay-per-use billing follows the minutes used.
Can the AI call members with reminders?
It can, through outbound Voice AI, but consent rules apply. The FCC treats AI voices as artificial voices, and nonprofit calls of that kind to residential lines are limited to three in 30 days without consent. For cell phones, get consent first. A text reminder to members who opted in is often simpler.
