The short answer
An AI receptionist for online fitness coaches built on HighLevel Voice AI costs about $0.32 per answered call, or $19 a month for 60 calls averaging 4 minutes, phone line included. Roughly 27 of those calls (45%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Explain the coaching offer
Describe program length, check-in frequency, what the app includes and what clients need (equipment, hours per week), using the coach's own program notes.
Book consult calls
Ask about goals, training experience and time zone, then offer consult slots in the caller's time zone and send a confirmation text.
Log pain or injury reports
Take the client's name and what hurts, ask them to pause training that causes pain and to contact a doctor or physical therapist, and alert the coach immediately.
Handle pause and cancel requests
Confirm the client, explain how pausing or cancelling works under your terms, record the reason, and create a task for the coach.
What to send to a person
- Pain, injury, dizziness or other medical symptoms
- Eating disorder concerns or extreme dieting questions
- Refunds and billing disputes
- Program changes for clients with medical conditions
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical online coaching business: 60 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.

Compared with staff time
Those 60 calls take about 4 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $73, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHey, thanks for calling. I'm the coaching team's virtual assistant. Are you a current client or thinking about starting?
CALLERCurrent client. My lower back has been hurting since Tuesday's deadlifts.
AI AGENTThanks for telling us. Please pause any exercise that causes pain, and if it's severe or you feel numbness, contact a doctor. Can I get your name so I can alert your coach right away?
CALLERIt's Jordan Reyes.
AI AGENTThanks, Jordan. I've sent your coach a message about your back. Would you like them to call or text you today?
CALLERA text is fine.
AI AGENTGot it. Your coach will text you and can adjust this week's plan. Is there anything else?
CALLERNo, that's all.
Prompt tips
- Tip 1Put a hard medical rule at the top: any pain, dizziness, chest symptoms or injury ends the sales script, gets a 'please contact a medical professional' line and an immediate alert to the coach.
- Tip 2Give the agent your own time zone and tell it to state consult times in the caller's time zone, since clients may be anywhere.
- Tip 3Ban outcome promises (pounds, inches, weeks to a result) and give the agent a neutral line about what the program includes instead.
Rules to watch
Health and weight-loss claims. The FTC's Health Products Compliance Guidance says claims about health benefits need competent and reliable scientific evidence, and its examples include weight-loss claims. The AI should describe the program, not promise pounds lost, inches gone or medical outcomes.
Before-and-after stories. Under the FTC's Endorsement Guides, a testimonial showing unusual results needs proof it is typical or a clear statement of what clients can generally expect, and 'results not typical' alone does not meet that bar. Keep before-and-after stories out of the AI's answers.
