The short answer
An AI receptionist for private schools built on HighLevel Voice AI costs about $0.32 per answered call, or $80 a month for 250 calls averaging 4 minutes, phone line included. Roughly 63 of those calls (25%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book tours and shadow days
Collect the student's current grade, entry year and interests, and book a campus tour or shadow day on the admissions calendar with a text confirmation.
Explain admissions steps
Walk families through application deadlines, testing, interviews and decision dates from the current year's admissions knowledge base.
Take absence reports
Record the student's name, grade and reason for absence, and notify the attendance office with a task.
Answer logistics questions
Share school hours, bus routes, after-school programs, uniform suppliers and calendar dates from the family handbook, and create a task for anything the handbook does not cover.
What to send to a person
- Financial aid and tuition assistance conversations
- Admissions decisions and waitlist status
- Safety, bullying or health concerns about a student
- Custody questions and records requests
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical private school: 250 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $68.00 | $11.65 | $80 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $88.00 | $11.65 | $100 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $200.00 | $11.65 | $212 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $11.65 | $109 | $0.43 |

Compared with staff time
Those 250 calls take about 17 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $305, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Prompt tips
- Tip 1Load the admissions calendar (open houses, deadlines, testing and decision dates) with the year on every date, and tell the agent to compare dates with today's before answering.
- Tip 2Split the greeting between the two audiences, since current families need attendance and logistics while prospective families need admissions.
- Tip 3Tell the agent never to discuss a student's admission status, grades or financial aid award; those questions become tasks for admissions or the business office.
Rules to watch
FERPA and private schools. FERPA applies to schools that receive funds from programs run by the Department of Education, and the Department says private elementary and secondary schools generally do not receive such funds. Some do, so confirm your school's status with counsel, and either way keep student records out of the AI's knowledge base.
Children's data and online tools. COPPA covers online services directed to children under 13. The FTC says schools may consent for parents to an education service collecting student data only when it is used for a school-authorized educational purpose and no other commercial purpose. The AI phone line should speak with parents and collect only what admissions needs.
