The short answer

GoHighLevel for private schools works as one system for calls, texts, bookings, reviews and follow-up. A single private school fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $202 a month. An agency running ten private schools on Unlimited pays about $135 per business.

Private schools run admissions like a long sales cycle with a hard deadline: families inquire in the fall, tour, apply and decide in spring, often weighing two or three schools. The admissions office is small and busy with events, so inquiry calls during open house week or after work hours can go unanswered. Meanwhile current families call the main line about absences, transportation and tuition, and those calls compete with a prospective family deciding where to spend years of tuition.

Why private schools miss leads

These are the calls and messages a typical private school has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Requesting an admissions tour or open house
  • Application deadlines and entrance testing
  • Tuition and financial aid questions
  • Reporting a student absence
  • Transportation or after-school program questions
  • Uniform and supply questions
  • Re-enrollment deadlines

Five workflows to build first

  1. Inquiry nurture to decision dayInquiries are tagged by grade and entry year and receive messages timed to your admissions calendar: open house invitation, application reminder, testing dates and decision date. As families tour and apply, each pipeline stage sends the next useful message.
  2. Open house registrationRegistrants get a confirmation, a reminder the day before with parking and schedule, and a follow-up the next morning with the application link and a booking link for a shadow day.
  3. Application completenessApplicants with missing items (records, recommendations, testing) get weekly reminders listing what is outstanding, and the admissions director sees a smart list of incomplete files before each deadline.
  4. Re-enrollment campaignCurrent families get re-enrollment contracts by email with a deadline, then text reminders two weeks and three days before it. Families who have not responded go on a list for personal calls from the division head.
  5. Alumni and past parent updatesAlumni and past parents receive a quarterly email with school news and event invitations, kept on a separate list from admissions so prospective families are not sent fundraising appeals.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.32 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for private schools.

Rules to watch

FERPA and private schools. FERPA applies to schools that receive funds from programs run by the Department of Education, and the Department says private elementary and secondary schools generally do not receive such funds. Some do, so confirm your school's status with counsel, and either way keep student records out of the AI's knowledge base.

Children's data and online tools. COPPA covers online services directed to children under 13. The FTC says schools may consent for parents to an education service collecting student data only when it is used for a school-authorized educational purpose and no other commercial purpose. The AI phone line should speak with parents and collect only what admissions needs.

Which plan

One private school fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many private schools should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a private school?
About $202 a month on our assumptions: the Starter plan at $97, and usage for 250 AI-answered calls, 1,500 texts and 8,000 emails. Change the numbers in the calculator to match your private school.
Can a private school run admissions marketing in HighLevel?
Yes. HighLevel covers the marketing side of admissions: landing pages and inquiry forms, event registration for open houses, an admissions pipeline by grade and entry year, email and text sequences, and reporting on inquiries by source. The application itself and student records usually stay in your admissions or student information system.
Does HighLevel work with an existing school website?
Yes. You can keep your current site and link to HighLevel forms and booking pages from it, or build campaign landing pages in HighLevel on a subdomain you connect. News, calendars and the main site can stay on your existing web platform while inquiries flow into the HighLevel pipeline.
How do schools track where inquiries come from?
Forms and landing pages record the source, and HighLevel's call tracking can assign a separate phone number to each campaign, such as a print ad or a radio spot. Dashboards then show inquiries, tours and applications by source, which helps decide where next year's admissions budget goes.
Is Starter enough for a school?
For a single campus, yes. Starter at $97 a month includes unlimited users, so admissions, the business office and division heads can all log in, and unlimited contacts for every inquiry and family. A school with separate lower and upper campuses can give each its own sub-account.
