The short answer

GoHighLevel for tutoring centers works as one system for calls, texts, bookings, reviews and follow-up. A single tutoring center fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $188 a month. An agency running ten tutoring centers on Unlimited pays about $121 per business.

Tutoring centers get most of their calls from worried parents, and those calls bunch up around report cards, test dates and the start of each semester. A parent who calls at 7 p.m. after a bad grade wants an assessment booked now, not a callback tomorrow. Center staff are busy teaching during the after-school hours when many parents call. After enrollment, schedule changes, make-up sessions and package balance questions keep the front desk on the phone.

Why tutoring centers miss leads

These are the calls and messages a typical tutoring center has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Booking a free assessment
  • Price per session or monthly package
  • SAT, ACT or state test prep schedules
  • Rescheduling or making up a missed session
  • Which subjects and grades are covered
  • Package balance or billing questions

Five workflows to build first

  1. After-hours assessment bookingParents who fill in the website form or call after hours get a text with a link to book a diagnostic assessment. Reminders go out the day before and two hours before, listing what the student should bring.
  2. Assessment to enrollmentAfter the assessment, the director moves the family to 'Plan presented' and the parent gets the recommended plan by email. If they have not enrolled in three days, a text offers a call to answer questions.
  3. Session reminders and make-upsEnrolled families get a reminder text the evening before each session with the time and tutor's name. A cancellation made inside your policy window sends a make-up booking link automatically.
  4. Report card season outreachTwo weeks after local report cards go home, past inquiries who never enrolled get an email about spring or fall openings and a link to book an assessment.
  5. Test date countdownStudents tagged for SAT or ACT prep follow a schedule of practice tests leading to their registered test date, stored in a custom field, and the parent gets a text after each practice score is entered.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.32 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for tutoring centers.

Rules to watch

Student records from schools. If a school outsources a tutoring program to your center, the Department of Education says it may share education records with you under FERPA's school official exception, with the records under the school's direct control and used only for that purpose. Ask the school what you may keep, and keep school records out of the AI's knowledge base.

Children's data online. COPPA applies to websites and online services directed to children under 13 that collect personal information from them. Keep sign-up forms and booking aimed at parents, and if you add any online feature that students under 13 use themselves, review the FTC's COPPA guidance first.

General information, not legal advice. Check the rules for your state with a qualified professional.

Software tutoring centers often use

TutorBird, Teachworks, Zoom, Google Classroom, QuickBooks. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.

Which plan

One tutoring center fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many tutoring centers should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a tutoring center?
About $188 a month on our assumptions: the Starter plan at $97, and usage for 220 AI-answered calls, 1,500 texts and 1,500 emails. Change the numbers in the calculator to match your tutoring center.
Can a tutoring center run enrollment in HighLevel?
Yes, the enrollment side: website and forms, assessment booking, a pipeline from inquiry to enrolled, reminders, invoices and payments, and email campaigns around report card and test seasons. Room scheduling and tutor session notes may stay in dedicated tutoring software, with HighLevel handling communication with families.
Can parents book assessments online?
Yes. Booking calendars show open assessment slots, collect the student's grade and subjects on the booking form, and send reminders by email and text. Round robin calendars can spread assessments across directors or senior tutors, and paid calendars can charge for an assessment if you do not offer it free.
How do tutoring centers use texting in HighLevel?
Typical uses are session reminders, make-up booking links and quick answers to parents. Texts cost $0.00747 a segment plus carrier fees, so 1,500 a month is about $11 before carrier fees. Business texting needs A2P 10DLC registration first, with a one-time fee and a small monthly campaign fee passed through from the carriers.
Does HighLevel work for a center with two locations?
Yes. Starter includes three sub-accounts, so each location can have its own calendars, phone number and contacts, while the owner can see both. Larger franchise groups would need Unlimited at $297 a month for unlimited sub-accounts.
