The short answer
An AI receptionist for tutoring centers built on HighLevel Voice AI costs about $0.32 per answered call, or $70 a month for 220 calls averaging 4 minutes, phone line included. Roughly 88 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book an assessment
Ask the student's grade, subjects and what prompted the call, then book a diagnostic slot and text the parent a confirmation with what to bring.
Explain programs and pricing
Describe subjects, grade levels, session length and packages from the knowledge base, and explain the next step to enroll.
Reschedule sessions
Move a session within your cancellation policy, offer make-up slots on the tutor's calendar, and confirm the change by text.
Answer test prep questions
Share test prep course start dates, formats and practice test schedules, and record the student's target test date.
What to send to a person
- Learning disability, IEP or 504 plan discussions
- Concerns about a tutor's conduct
- Billing disputes and package refunds
- Coordination with a student's school
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical tutoring center: 220 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.

Compared with staff time
Those 220 calls take about 15 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $268, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling the learning center. I'm the virtual assistant. Are you looking for tutoring for a student?
CALLERYes, my son is in eighth grade and just got a D in math.
AI AGENTI'm sorry to hear that, and it's good you're calling now. We start with a free assessment to see where he needs help. Is it just math, or other subjects too?
CALLERJust math, mostly algebra.
AI AGENTThanks. I have assessment times Wednesday at 4:30 or Saturday at 10. Which works for your family?
CALLERSaturday at 10.
AI AGENTYou're booked. I'll text you a confirmation with what to bring, like a recent test or report card. What's your son's first name?
CALLERIt's Leo.
Prompt tips
- Tip 1Tell the agent to ask only for the student's first name and grade, never school ID numbers, grades from school records or diagnoses.
- Tip 2Keep subjects, grade ranges and test prep dates in a simple table and update it each semester, so answers stay current.
- Tip 3Write your make-up and cancellation policy in plain words, including the notice window, so the agent applies it the same way to every family.
Rules to watch
Student records from schools. If a school outsources a tutoring program to your center, the Department of Education says it may share education records with you under FERPA's school official exception, with the records under the school's direct control and used only for that purpose. Ask the school what you may keep, and keep school records out of the AI's knowledge base.
Children's data online. COPPA applies to websites and online services directed to children under 13 that collect personal information from them. Keep sign-up forms and booking aimed at parents, and if you add any online feature that students under 13 use themselves, review the FTC's COPPA guidance first.
