The short answer
An AI receptionist for photographers built on HighLevel Voice AI costs about $0.32 per answered call, or $19 a month for 60 calls averaging 4 minutes, phone line included. Roughly 27 of those calls (45%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Check dates and book consults
Checks the calendar for the wedding or session date, books a consult or session, and texts the pricing guide.
Explain packages
Describes coverage hours, second shooter options and what each package includes, reading prices from the knowledge base.
Fill mini-session slots
Offers open mini-session times, books the slot on the paid calendar, and texts the payment link that holds it.
Answer gallery questions
Tells clients the standard delivery window and how to order prints, and flags overdue galleries for the photographer.
What to send to a person
- Custom wedding quotes and discounts
- Complaints about edited images
- Requests to change or cancel a contract
- Image licensing questions from businesses
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical photography business: 60 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $16.32 | $2.80 | $19 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $21.12 | $2.80 | $24 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $48.00 | $2.80 | $51 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $2.80 | $100 | $1.66 |
The breakdown of every Voice AI charge is in our Voice AI pricing guide. Agencies can price this as a monthly service with the calculator's Price a client tab, preloaded for a photography business.
Compared with staff time
Those 60 calls take about 4 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $73, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

CALLERIs she available for a wedding on June 13th next year?
AI AGENTJune 13th is open right now. Where is the wedding, and roughly how many hours of coverage are you thinking?
CALLERIn Sonoma, probably eight hours.
AI AGENTLena's eight hour collection starts at $4,800 and includes a second shooter and an online gallery. Would you like a video consult to talk through the day?
CALLERYes, please.
AI AGENTShe has Wednesday at 6 pm or Saturday at 9 am. Which is better?
CALLERWednesday at 6.

Prompt tips
- Tip 1Tell the agent that a date is only held once the contract and retainer are in, and to say so on every availability call.
- Tip 2List each package's coverage hours and inclusions in a simple table so the agent can match a couple's plans to one.
- Tip 3Have the agent send commercial usage and licensing questions to the photographer, since terms differ from job to job.
Rules to watch
Reviews and incentives. FTC guidance says you cannot make an incentive depend on a positive review. If you offer a print credit for leaving a review, it must be for any honest review, and the reviewer should disclose that they received it. Send review requests to every client, not only the happiest ones.
Client photos in marketing. Client images, and especially photos of children, make strong marketing. Get written permission in the contract or a separate release before posting a client's images in ads, and keep a note of it on the contact. Have a lawyer review your release wording.
