The short answer
An AI receptionist for wedding venues built on HighLevel Voice AI costs about $0.40 per answered call, or $60 a month for 150 calls averaging 5 minutes, phone line included. Roughly 60 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Check date availability
Checks the venue calendar for the requested date, suggests nearby open Fridays or Saturdays if it is taken, and records how flexible the couple is.
Book venue tours
Books a tour on the coordinator's calendar, texts directions and parking information, and asks for guest count and budget so the tour is prepared.
Explain packages
Covers capacity, package inclusions, rental hours and vendor rules from the knowledge base, and texts the pricing guide after the call.
Answer booked couple questions
Gives payment dates, the balance due and planning deadlines to booked couples, and logs any request for the coordinator.
What to send to a person
- Custom pricing or discounts for off-peak dates
- Contract changes, date changes and cancellations
- Wedding day issues from vendors or guests
- Planning disagreements between couples and family members
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical wedding venue: 150 calls a month answered by the AI, averaging 5 minutes. Phone minutes are billed per call and rounded up, so each call bills 5 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $51.00 | $8.74 | $60 | $0.40 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $66.00 | $8.74 | $75 | $0.50 |
| Pay per use, speech-to-speech (OpenAI) | $150.00 | $8.74 | $159 | $1.06 |
| AI Employee Unlimited, $97 flat | $97.00 | $8.74 | $106 | $0.70 |

Compared with staff time
Those 150 calls take about 13 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $228, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThank you for calling Willow Creek Barn. I'm the venue's AI assistant. Are you planning a wedding?
CALLERYes! Do you have Saturday, September 19th of next year?
AI AGENTCongratulations. September 19th is already booked, but Friday the 18th and Saturday the 26th are open. Would either work?
CALLERMaybe the 26th. How many guests can you hold?
AI AGENTUp to 180 seated in the barn, or 220 for a ceremony on the lawn. September Saturday packages start at $9,500 for ten hours. Would you like to tour the property?
CALLERYes, this weekend if possible.
AI AGENTI have Sunday at 11 am or 2 pm with our coordinator, Jess. Which works better?
CALLER2 pm, please.
AI AGENTYou're set for Sunday at 2. I'm texting you directions and our pricing guide now.
Prompt tips
- Tip 1Give the agent the season and day-of-week pricing table so it can quote a real starting price for the exact date asked.
- Tip 2Tell the agent to offer alternative dates whenever a date is taken, since a flexible couple is still a strong lead.
- Tip 3Send every discount request to the coordinator; the agent quotes published prices only.
Rules to watch
Fair review requests. The FTC's consumer reviews rule, in effect since October 21, 2024, targets deceptive review practices, and FTC guidance bars offering a reward on the condition that a review is positive. Send every couple the same request, and if you offer a small thank-you, it cannot depend on a five-star rating.
Outbound AI follow-up calls. If the venue uses Voice AI to call inquiries back, the FCC ruled in 2024 that AI-generated voices are artificial voices under the TCPA. Those calls need prior express consent, and written consent for marketing calls, so add clear consent wording to the inquiry form.
