The short answer

GoHighLevel for wedding venues works as one system for calls, texts, bookings, reviews and follow-up. A single wedding venue fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $167 a month. An agency running ten wedding venues on Unlimited pays about $99 per business.

A wedding venue sells dates that can each be sold only once, and couples usually tour several venues before choosing. Inquiries often jump after the winter engagement season, and couples want pricing, capacity and open Saturdays right away. When the coordinator is running a wedding that weekend, calls and web inquiries wait until Monday, and by then the couple may have toured two other places. After booking, the venue still fields months of planning calls, payment schedule questions and vendor requests.

Why wedding venues miss leads

These are the calls and messages a typical wedding venue has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Open Saturdays and pricing for a date
  • Guest capacity indoors and outdoors
  • Scheduling a tour
  • What each package includes
  • Preferred vendor and outside caterer rules
  • Payment schedule questions from booked couples
  • Rain plan for outdoor ceremonies

Five workflows to build first

  1. Inquiry to tourEvery inquiry gets an instant text and email with the pricing guide and a tour booking link. Couples who book a tour receive directions and a reminder, and those who do not book get a follow-up after two days.
  2. Tour to contractAfter a tour, the couple gets a thank-you with their date's availability and a proposal. Documents & Contracts collects signatures from both partners, and the signed contract takes them straight to the deposit invoice.
  3. Installment remindersBooked couples get reminders ahead of each installment with a text-to-pay link. A missed payment creates a task for the coordinator instead of sending an automatic late notice.
  4. Planning checkpointsAt set points, such as 90 and 30 days out, couples get a planning form for their timeline, vendor list and final headcount. Answers save to the couple's record for the coordinator.
  5. Post-wedding reviewA week after the wedding, the couple gets a thank-you and a review link for Google or wedding directories. Every couple receives the same request, with no reward tied to a positive rating.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

What it costs

Our assumptions for a typical wedding venue: 150 calls a month answered by Voice AI at 5 minutes each, 500 text segments and 2,000 emails. These are starting points, not measured data.

Line One wedding venue on Starter Agency, 10 on Unlimited (per business)
Plan $97 $29.70
Number and A2P fees $2.65 $2.65
Texts with carrier fees $5.84 $5.84
Phone minutes for AI calls $8.74 $8.74
Email $1.35 $1.35
Voice AI (Pay per use) $51.00 $51.00
Total per month $167 $99

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.40 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for wedding venues.

Rules to watch

Fair review requests. The FTC's consumer reviews rule, in effect since October 21, 2024, targets deceptive review practices, and FTC guidance bars offering a reward on the condition that a review is positive. Send every couple the same request, and if you offer a small thank-you, it cannot depend on a five-star rating.

Outbound AI follow-up calls. If the venue uses Voice AI to call inquiries back, the FCC ruled in 2024 that AI-generated voices are artificial voices under the TCPA. Those calls need prior express consent, and written consent for marketing calls, so add clear consent wording to the inquiry form.

Which plan

One wedding venue fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many wedding venues should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a wedding venue?
About $167 a month on our assumptions: the Starter plan at $97, and usage for 150 AI-answered calls, 500 texts and 2,000 emails. Change the numbers in the calculator to match your wedding venue.
Can GoHighLevel manage wedding venue bookings from inquiry to event?
Yes, for the sales and client side. Inquiries, tours, proposals, contracts with e-signature, deposits, installment reminders and planning forms can all run in HighLevel. Floor plans, vendor coordination and day-of timelines may still sit in a planning tool or spreadsheet, since HighLevel is a CRM rather than event production software.
Can both partners sign the venue contract?
Yes. Documents & Contracts supports multiple signers, so both partners, or a parent paying for the wedding, can sign the same agreement. Each signature is recorded with details such as IP address and timestamp, and the signed contract can route the payer to the deposit invoice.
How can a venue see which directories bring bookings?
Record the source on every new lead, whether it arrives by form, phone or a directory message, and keep one pipeline for all of them. Reporting by source then shows which listing produces tours and signed contracts, which helps decide where next year's advertising budget should go.
Which HighLevel plan does a wedding venue need?
Starter at $97 a month for a single venue. If the owner also runs an on-site catering brand or a second property, each fits in its own sub-account. Couples, vendors and staff can all be contacts at no extra cost, since contacts are unlimited on every plan.
