The short answer
An AI receptionist for roofers built on HighLevel Voice AI costs about $0.32 per answered call, or $57 a month for 180 calls averaging 4 minutes, phone line included. Roughly 45 of those calls (25%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Handle an active leak
Asks where water is coming in and whether it is near light fixtures or wiring, suggests a bucket and moving belongings, then books an emergency tarp visit or transfers to the owner.
Book free inspections
Collects the address, roof age if known, the storm date and whether a claim has been opened, then books the next inspection slot and texts a confirmation.
Explain the insurance process in general terms
Explains that the homeowner files the claim with their own insurer and that the roofer can attend the adjuster visit, without predicting whether the claim will be paid.
Tag storm leads
Tags each contact with the storm date and ZIP code, so the office can see where damage is concentrated and plan inspection routes.
What to send to a person
- Deductibles, payment arrangements or anything tied to an insurance payout
- Disputes about a previous roof job and warranty claims
- Commercial and flat roof bids
- Water coming through a ceiling light or near the electrical panel
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical roofing company: 180 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $48.96 | $8.39 | $57 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $63.36 | $8.39 | $72 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $144.00 | $8.39 | $152 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $8.39 | $105 | $0.59 |

Compared with staff time
Those 180 calls take about 12 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $219, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling the roofing office. I'm an automated assistant and can book an inspection or get a message to the team. What's going on with your roof?
CALLERWe had hail last night and there are dents in the gutters. I'm worried about the shingles.
AI AGENTI can get an inspector out. Is any water coming inside right now?
CALLERNo, it's dry inside.
AI AGENTGood. Have you opened an insurance claim yet, or would you like the inspection first?
CALLERInspection first. I don't know if it's worth a claim.
AI AGENTThat's common. I have Thursday at 10 a.m. or Friday at 2 p.m. The inspector will photograph the roof and go over what they find with you.
CALLERThursday at 10.
AI AGENTDone. I'll text you a confirmation now and a reminder Wednesday afternoon.
Prompt tips
- Tip 1Tell the agent never to say whether insurance will pay, and give it one neutral sentence about how claims work instead.
- Tip 2Add a storm mode section with the current storm date, the affected ZIP codes and any extra inspection slots, and update it after each event.
- Tip 3Have the agent ask for photos by text rather than a spoken description, since a caller's view of a roof from the ground is rarely accurate.
Rules to watch
Storm season sales practices. The FTC warns homeowners about contractors who push them to sign right away for a discount, ask them to sign over the insurance check or demand full payment up front. Keep those tactics out of your AI prompt and follow-up texts, and have the AI state your license and insurance details when asked.
Three-day right to cancel. The FTC Cooling-Off Rule gives buyers three business days to cancel many sales made at their home, and the FTC says contracts signed at home should state that right in writing. Some emergency and requested repairs are excluded. If crews sign contracts at kitchen tables after a storm, the notice belongs in the paperwork.
Canvassing lists and automated calls. A door-knock sign-up sheet is not a record of consent for AI calls. The FCC treats AI-generated voices as artificial under the TCPA, so outbound Voice AI follow-up needs prior express consent, and written consent when the call markets your services.
