The short answer
An AI receptionist for sign companies built on HighLevel Voice AI costs about $0.32 per answered call, or $38 a month for 120 calls averaging 4 minutes, phone line included. Roughly 30 of those calls (25%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Take a new sign inquiry
Collect business name, address, sign type (channel letters, monument, window vinyl, wrap), size ideas and deadline, then book a site survey or text the quote form.
Log a status question
Take the job name and what the caller needs to know, then create a task for the project manager or transfer during office hours, without guessing at permit dates.
Book a repair visit
Record which sign is out and where, ask for a photo by text, and offer service windows from the technician calendar.
Take ADA sign requests
Explain that you make tactile and braille room signs, take the room count and request a floor plan, and leave specification questions to your ADA sign specialist.
What to send to a person
- Landlord, permit and zoning questions
- Electrical faults or signs that could fall
- Price negotiation on large projects
- Contractor schedule changes that affect crane or lift rentals
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical sign company: 120 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $32.64 | $5.59 | $38 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $42.24 | $5.59 | $48 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $96.00 | $5.59 | $102 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.59 | $103 | $0.85 |

Compared with staff time
Those 120 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $146, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling. I'm the sign company's virtual assistant. Is this about a new sign, a project in progress, or a repair?
CALLERA repair. Half the letters on our store sign went dark last night.
AI AGENTSorry about that. What's the business address, and is anything hanging loose or sparking?
CALLERIt's the salon at 214 Main Street. Nothing's hanging, the letters are just out.
AI AGENTThanks. I'll text you a link to send a photo so the technician brings the right parts. I have service windows Thursday morning or Friday afternoon. Which is better?
CALLERThursday morning.
AI AGENTYou're booked for Thursday between 8 and 12. If anything starts to hang or spark before then, call back and say it's urgent so we get a person on the line.
CALLERWill do, thanks.
Prompt tips
- Tip 1Write a safety rule first: any mention of a sign leaning, hanging, sparking or smoking gets an immediate transfer or urgent text to the service manager.
- Tip 2List the sign types you make and the ones you do not, so the agent declines billboard or digital display requests if you do not offer them.
- Tip 3Tell the agent never to estimate custom exterior sign prices and to book a survey instead, because size, lighting and mounting change the number.
Rules to watch
ADA sign standards. The 2010 ADA Standards set rules for tactile signs, including raised characters that are uppercase and sans serif, with the baseline of the lowest tactile character at least 48 inches and the highest at most 60 inches above the floor. The AI can say you work to these standards but should route specification questions to staff.
Permits and landlord approval. Exterior signs often need a local permit and, in leased spaces, approval under the landlord's sign criteria. Rules differ by city, so the AI should never promise approval or a permit date, and should tell callers the project manager will confirm what their site requires.
