Prompt tips
- Tip 1Put your price list in the prompt with the words 'starting at', and tell the AI never to promise a final fee or a refund amount.
- Tip 2Turn on the Multilingual option if you serve Spanish-speaking clients, and have a bilingual preparer check how the AI explains each document.
- Tip 3Change the prompt the day after the filing deadline so the AI stops offering walk-ins and starts booking extension and amendment appointments.
Rules to watch
Consent before cross-selling. Under Section 7216, a preparer can use client lists to market more tax preparation without consent, but pitching other products, such as insurance or loans, based on return information needs signed consent. The IRS FAQ adds that solicitation consent cannot be requested after the completed return is handed over for signature.
Written security plan. The IRS says FTC regulations require professional tax preparers to create and follow a security plan to protect client data, and the Safeguards Rule adds multi-factor login and encryption. The AI should never take Social Security numbers, bank details or prior-year income figures by phone.
Texting last year's clients. January reactivation texts are marketing. FCC rules require consent for autodialed texts to cell phones and prior express written consent for telemarketing texts, so add a clear texting consent line to this season's intake form and keep a record of it.
