The short answer

An AI receptionist for title companies built on HighLevel Voice AI costs about $0.24 per answered call, or $48 a month for 200 calls averaging 3 minutes, phone line included. Roughly 30 of those calls (15%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Route file status calls

Takes the property address, file number and caller's role, then transfers to the escrow officer during business hours or creates a same-day callback task.

Schedule closings

Books signings on the office or mobile closing calendar, confirms who will attend, and texts each party the address, the ID requirements and a wire fraud reminder.

Take new orders by phone

Collects the property address, sale price, parties, lender and target closing date from an agent and creates an order request for the processing team.

Warn callers about wire fraud

Tells anyone asking about wiring money that the company never sends or changes wire instructions by email, and transfers them to a person who verifies through a known number.

What to send to a person

  • Giving or confirming wire instructions
  • Payoff amounts and settlement figures
  • Title defects, liens and curative work
  • Disputes between parties at closing

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical title company: 200 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 200 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThank you for calling Cornerstone Title. I'm the office's virtual assistant. Are you a buyer, seller, agent or lender?

CALLERI'm the buyer on 52 Harbor View. I got an email with new wiring instructions and wanted to check.

AI AGENTThank you for calling first. Cornerstone Title never changes wire instructions by email, so please don't send money using that email. I'm transferring you to your escrow officer now so she can confirm the details with you directly.

CALLEROkay, thank you.

AI AGENTIf the call doesn't connect, she'll call you back within the hour at the number on your file. Please don't reply to that email in the meantime.

CALLERGot it.

Prompt tips

  1. Tip 1Put a hard rule at the top of the prompt: the AI never states account numbers, routing numbers or payoff figures, even to agents it recognizes.
  2. Tip 2List each escrow officer with the agents and lenders they usually work with, so status calls reach the right person on the first try.
  3. Tip 3Ask the AI to confirm the property address and the caller's role before anything else, since agents, lenders and parties are entitled to different information.

Rules to watch

Wire fraud warnings. The FBI's IC3 warned in June 2023 that business email compromise scams against real estate transactions were rising again, with criminals using compromised email to change payment instructions. Never let the AI or an automated message give wire instructions, and put a standing warning in every closing message telling parties to verify by phone at a known number.

RESPA and gifts to referral sources. RESPA Section 8, carried out through Regulation X, bars giving or accepting anything of value for referrals of settlement business, while normal promotional and educational activities not tied to referrals are allowed. Have counsel review agent marketing campaigns, events and giveaways before they launch.

Questions

How much does an AI receptionist cost for a title company?
On HighLevel Voice AI, about $48 a month for 200 calls averaging 3 minutes, or $0.24 per answered call including the phone line. That is our estimate from HighLevel's published rates with a standard voice; premium voices cost more per minute.
Can an AI receptionist handle title file status calls?
It can take the property address, file number and caller's role, then transfer to the escrow officer or create a same-day callback task. That keeps status calls from interrupting closings without leaving agents waiting. At 200 calls a month of three minutes, pay per use costs roughly $36 plus $7 in phone minutes before AI tokens.
Should the AI give wire instructions?
Never. Wire instructions and payoff amounts should come only from a person following your verification process. Program the AI to say plainly that the company does not give or change wire instructions by email, and to transfer any caller with a wire question to someone who can verify their identity.
Can the AI schedule closings and mobile signings?
Yes. Voice AI can book on one calendar or route across several, so office closings and mobile notary slots can live on separate calendars. It can text the address, ID requirements and a reminder. Keep the escrow officer as the person who confirms documents are ready before a time becomes final.
Can the AI take new title orders from agents?
It can collect order details by phone, including the property address, parties, sale price, lender and closing date, then create an opportunity and alert the processing team. Have it text your online order form link as well, since some agents prefer to type the details and attach the contract themselves.
