The short answer
An AI receptionist for yoga studios built on HighLevel Voice AI costs about $0.16 per answered call, or $19 a month for 120 calls averaging 2 minutes, phone line included. Roughly 36 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Match a caller to the right class
Asks about experience and preferred times, then suggests a gentle or beginner flow from the schedule instead of a heated power class for a first visit.
Book a first class
Books the caller into a class slot, texts a confirmation with arrival time, what to wear and where to park, and saves them as a new student lead.
Explain passes and pricing
Reads the intro offer, drop-in, class pack and membership prices from the knowledge base so every caller hears the same current numbers.
Handle late cancellations
Cancels or moves a booking and explains the studio's late cancel window, so the mat opens up for another student instead of sitting empty.
What to send to a person
- Questions about practicing with an injury, pregnancy or a medical condition
- Refund and membership freeze requests
- Complaints about a teacher or class
- Private and corporate session pricing
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical yoga studio: 120 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $16.32 | $2.80 | $19 | $0.16 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $21.12 | $2.80 | $24 | $0.20 |
| Pay per use, speech-to-speech (OpenAI) | $48.00 | $2.80 | $51 | $0.42 |
| AI Employee Unlimited, $97 flat | $97.00 | $2.80 | $100 | $0.83 |

Compared with staff time
Those 120 calls take about 4 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $73, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling Riverbend Yoga, this is the studio's virtual assistant. Are you new to the studio or already a member?
CALLERNew. I've never done yoga and I'm not very flexible.
AI AGENTThat's exactly who our Yoga Basics class is for. There's one tomorrow at 6 pm and Saturday at 9 am. Which works better?
CALLERSaturday. Is that the hot room?
AI AGENTNo, Basics is in the unheated room. Bring water and wear something you can move in, and you can borrow a mat for free. Can I get your name and mobile number to hold your spot?
CALLERDana Price, 555-0142.
AI AGENTYou're booked for Saturday at 9, Dana. I'm texting you the intro offer and parking details now. Anything else I can help with?
CALLERNo, that's great, thanks.
Prompt tips
- Tip 1List each class style with its heat level, pace and who it suits, so the agent never sends a first-timer to a heated power class.
- Tip 2Tell the agent to hand any question about injuries, pregnancy or medical conditions to a teacher instead of giving advice.
- Tip 3Keep the current intro offer, drop-in price and late cancel window in the knowledge base and update it whenever a promotion changes.
Rules to watch
Consent for promotional texts. A class reminder a student asked for is informational, but a text pushing a class pack sale is marketing. The FCC says commercial texts require written consent, so put a clear texting opt-in on the intro offer form and stop marketing texts as soon as someone asks.
Health claims in ads and scripts. FTC guidance says ad claims must be truthful, not deceptive and evidence-based. Keep the AI, your ads and your texts to what a class involves, and avoid saying yoga will cure back pain, anxiety or any condition unless you hold real evidence.
