Calendar types and when to use each

Picking the right calendar type avoids most setup problems, because availability, notifications and meeting links behave differently in each. HighLevel added the personal booking calendar after noticing that people avoided round robin for a single staff member and misused event calendars for simple 1:1 meetings instead. Class booking and group calendars are also available for sessions with several attendees.

• Personal booking: one team member, 1:1 meetings
• Round robin: several staff, bookings distributed between them
• Collective: at least 2 members meet together, led by a primary owner; only the assigned user gets the email notification
• Service: for salons and spas, with a service menu, staff, rooms and equipment; fixed 15-minute slot interval; only agency admins can enable it
• Event: no host, suited to seminars and expos; no Zoom, Google Meet or Teams, one Google Calendar at most, conflict calendars ignored

Syncing Google, Outlook and iCloud

External calendars connect in two roles. A linked calendar brings events into HighLevel so real busy times show, and each user links one connected calendar. Conflict calendars are checked to block double bookings, and you can add several. By default sync is one-way in effect: outside events appear as blocked slots but do not create contacts or fire workflows. Two-way sync turns outside events into full HighLevel appointments with contacts and automation. Google Calendar, Outlook, iCloud and Calendly are supported, and Zoom, Google Meet and Microsoft Teams links can be generated for most calendar types.

Charging for appointments

Paid bookings work on all calendar types once a gateway is connected under Payments. You can charge the full amount at booking or save a card on file without charging it, which suits no-show fees. Razorpay, NMI and Square are not supported on the classic booking widget or the service menu, and when several gateways are connected only the default one processes calendar payments. Deposits through partial payment are available, but partial payments do not work with recurring calendars. On service calendars, payment applies to the primary attendee only, not added guests.

Reminders and notifications

HighLevel sends six kinds of appointment messages: booked (unconfirmed), booked (confirmed), cancellation, reschedule, reminder and follow-up, to the contact, guests, assigned users or extra addresses. Reminders and follow-ups can carry multiple timings, for example 24 hours and 1 hour before. Channels are email, SMS, WhatsApp and in-app. WhatsApp needs a verified WhatsApp Business account and approved templates, and phone numbers need country codes. HighLevel reminds users that SMS is billed per segment, so short reminder texts cost less; each segment is $0.00747 plus carrier fees on LC Phone.

Booking by AI and through the client portal

Calendars are also the booking target for HighLevel's AI agents. Conversation AI can book into one calendar or route across several from a chat or text thread, and Voice AI can book during a phone call. In the new Client Portal, customers can book, reschedule and cancel appointments themselves, provided the Appointments app is enabled in portal permissions and the calendar has portal booking turned on. HighLevel notes that support for branded apps is still coming, so the feature currently works only in the standard new portal.
