What a bot can do

HighLevel organizes a bot into Bot Settings, Bot Training, Brand Voice, Bot Goals and Additional Instructions, with a dashboard for monitoring. Training draws on knowledge bases, documents, URLs and FAQs. Goals cover booking appointments, with options to cancel or reschedule, collecting information such as email or service type, qualifying leads, and triggering workflows. Bots can also update contact fields, add tags, and hand the conversation to a person with the context kept. Because a bot can act on the CRM, test each goal on a test contact before switching a client to Autopilot.

Channels and routing rules

Each bot has a Deploy tab where you choose its channels (SMS, Email, Facebook, Instagram, WhatsApp, Live Chat, Chat Widget, plus TikTok), the connected destination such as a page or number, and optional tag rules. Two bots can share one channel if their tag conditions differ, for example one bot for regular customers and one for members, but HighLevel blocks two bots with identical channel, destination and tag settings. A bot assigned directly to a contact takes priority.

Bots can also be started from workflows, and the workflow's channels must match the bot's channels. Only one bot can be active in a conversation at a time, although a workflow can hand a contact from one bot to another. That allows a general front-desk bot on every channel and a separate booking bot that a workflow switches in once a lead asks for an appointment.

Suggestive or Autopilot

Suggestive mode drafts a reply for every incoming message and leaves sending to a person, which makes it a safe first week for a new client: staff see what the bot would say, correct the knowledge base where it is wrong, and learn which questions it handles well. Autopilot sends replies automatically based on the bot's configuration. A sensible rollout is Suggestive during business hours while the team reviews drafts, then Autopilot after hours, then Autopilot all day once the answers are consistently right. Off mode stops the bot from replying at all.

What it costs

On pay per use, Conversation AI is billed by tokens, with input and output priced separately per million tokens. Output tokens cost several times more than input tokens, so long replies cost more than short ones, and a large knowledge base or long instructions add to the input side of every reply. Phone and SMS charges sit on top of every option. HighLevel's published rates:

Setup gotchas

Texting through Conversation AI still needs a registered number: an SMS bot on a local number will not send until the sub-account's A2P 10DLC campaign is approved, and every text is billed at normal SMS rates regardless of the AI plan. Mismatched channels are the next most common problem, where a workflow starts a bot on WhatsApp but the bot is only assigned to SMS.
