The short answer

GoHighLevel for fertility clinics works as one system for calls, texts, bookings, reviews and follow-up. A single fertility clinic fits on Starter at $97 a month, plus the $297 HIPAA add-on. With our assumed volumes the all-in bill is about $469 a month. An agency running ten fertility clinics on Unlimited pays about $105 per business before HIPAA, or $134 with it.

Fertility clinics handle some of the most sensitive calls in healthcare. New patients call about consultations, costs and financing, sometimes with a partner on the line, and current patients call about cycle timing, where a missed message matters. The clinic also runs a long decision cycle: some people attend an info session or consult and start treatment months later. HighLevel can manage consult booking, long-term follow-up, financial counseling handoffs and info session registration. A Voice AI agent can handle new patient logistics and after-hours routing, while anything about a cycle, medication or results goes straight to the care team.

Why fertility clinics miss leads

These are the calls and messages a typical fertility clinic has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • New patient consultation
  • Cost of IVF or other treatment
  • Financing and insurance coverage
  • Egg freezing information
  • Cycle timing or medication question
  • Info session registration
  • Transfer records from another clinic

Five workflows to build first

  1. Consult to treatment follow-upAfter a consult, send the financial counselor's follow-up and insurance next steps, then a check-in text at 30 and 90 days if treatment has not started. The sequence ends when the patient schedules.
  2. Info session registrationWebinar or in-person info sessions run through a registration page with reminder texts and emails, and attendees receive a consult booking link afterward.
  3. Financial counseling handoffWhen a consult is booked, create a task for the financial counselor to reach out before the visit, with the patient's insurance and preferred contact method attached.
  4. Discreet remindersAppointment reminders carry only the time, the location and the clinic's short name, with no mention of procedures, because phones are often shared or visible to others.
  5. Records transfer intakeNew patients coming from another clinic complete a records release form, and a task goes to the records team to request the files before the first visit.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.32 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for fertility clinics.

Rules to watch

Discretion in messages. HHS allows reminder messages on answering machines and with family members but advises limiting the details. For a fertility clinic, keep voicemails and texts to a short clinic name, the time and a callback number, and ask each patient which channel they prefer.

Partners and personal representatives. HIPAA gives a patient's rights to a personal representative, someone with legal authority to make health care decisions for them, and a partner is not automatically one. Record who each patient allows the clinic to speak with, and have the AI take messages rather than confirm details to anyone else.

Good faith estimates. Self-pay fertility patients are usually entitled to a good faith estimate when care is scheduled at least three business days ahead or on request, under the No Surprises Act. Build the estimate into financial counseling and keep a copy on file.

General information, not legal advice. Check the rules for your state with a qualified professional.

Which plan

One fertility clinic fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many fertility clinics should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How do fertility clinics use GoHighLevel?
For the new patient side: info session registration, consult booking, long-term follow-up for people who have not started treatment, financial counseling tasks, reviews and an AI receptionist. Cycle management, results and medical records stay in the clinic's EMR.
Can GoHighLevel keep fertility patient messages discreet?
Yes, if templates are written for it. Keep reminders to time, place and a short clinic name, let patients choose text or email, and limit which staff users can see contacts. The HIPAA package, at $297 a month, adds a business associate agreement to the account.
Can GoHighLevel track info session attendees through to treatment?
Yes. Registration forms tag attendees, and a pipeline follows them from info session to consult to treatment start. The report shows how many attendees became consults, which tells the clinic whether info sessions are worth running.
What does GoHighLevel cost a fertility clinic?
Starter is $97 a month with three sub-accounts, enough for up to three locations, and the HIPAA package adds $297 a month. Usage covers texts, email, phone and AI minutes. Long follow-up sequences mostly add email, which costs $0.675 per 1,000 sends.
