The short answer
GoHighLevel for IT service providers works as one system for calls, texts, bookings, reviews and follow-up. A single IT services company fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $176 a month. An agency running ten IT service providers on Unlimited pays about $109 per business.
Small IT shops and managed service providers sell to businesses that call when something breaks, so the phone rings hardest while every technician is already on a job. A new prospect with a failing server and a current client locked out of email both reach voicemail. Growth comes from referrals and renewals, yet follow-up on quotes for laptops, firewalls or a managed plan slips because the engineer who wrote the quote is the same person fixing today's outage.
Why IT service providers miss leads
These are the calls and messages a typical IT services company has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- Current client reporting an outage or lockout
- Password or email access problem
- New business asking for a managed services quote
- Invoice or contract renewal question
- Scheduling an onsite visit or install
- Hardware purchase or license renewal
- Caller unsure whether a call about their computer was a scam
Five workflows to build first
- Project quote follow-upAfter a technician sends a proposal for a network refresh, the opportunity moves to 'Quote sent' and the buyer gets a text two days later asking if they have questions. At day seven the account owner gets a task to call, before the budget goes elsewhere.
- Assessment booking for prospectsVisitors who request a network assessment answer a short form about user count and current setup, then pick a slot on the sales engineer's calendar. The reminder the day before asks them to have someone who knows their systems on the call.
- Contract renewal reminderNinety days before a managed services agreement ends, stored in a date field, the account manager gets a task and the client gets an email proposing a review meeting, so renewals are not discovered the week they expire.
- After-hours missed call triageWhen a call to the main line goes unanswered, the caller gets a text asking them to reply 1 for a problem affecting several users, 2 for a single-user issue, or 3 for sales. A reply of 1 texts the on-call engineer through a workflow.
- Review request after a finished projectWhen a project opportunity is marked complete, the client contact gets a text asking how it went, with a link to your Google review page. Every client gets the same message, which keeps the request fair and simple to run.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.32 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for IT service providers.
Rules to watch
Tech support scam awareness. The FTC tells consumers that legitimate tech companies will not call, email or text to say there is a problem with their computer, and that real security pop-ups never ask people to call a number. Tell clients how you do contact them, and make sure your AI never asks for passwords or remote access.
Outbound AI calls and consent. Under the FCC's February 2024 ruling, calls that use AI-generated voices are artificial voice calls under the TCPA and need prior express consent. Use outbound Voice AI for renewal reminders only with contacts who agreed to it. HighLevel also requires consent language and identity verification before outbound Voice AI can be switched on.

Which plan
One IT services company fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many IT service providers should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
