The short answer

Zoho data leaves as CSV files from Zoho CRM's Data Administration export and comes into HighLevel through the contact and opportunity CSV imports. Users, Zoho Bookings calendars, forms, contracts, websites, lead scoring and automations are recreated by hand. HighLevel's Zoho migration guide covers all of it; there is no direct Zoho importer.

Export contacts and deals from Zoho CRM

The guide's Zoho steps are Setup, Data Administration, Export, then Start an Export and pick the Contacts module (and later Deals, Users and Appointments). Every record needs an email address or phone number to import into HighLevel. HighLevel's guide says one Zoho export holds up to 200,000 records, taken from the oldest first, and the download link lasts 7 days, so a large account needs several exports. Turn Zoho mailing lists and segments into tag columns before you export; after the import, those tags let you rebuild each segment as a Smart List.

Import contacts, then pipelines and opportunities

Create custom fields in HighLevel before the contact import, then import the CSV, map each column and add a source tag such as Zoho Import. For deals, build the pipelines and stages first under Opportunities with Add Pipeline and add any custom opportunity fields. Then open the pipeline's three-dot menu, import the deals file and map the columns. HighLevel's opportunity import needs an opportunity name and pipeline on every row, and each opportunity must link to a contact, so contacts go in first. Compare record totals with Zoho before you move on.

What you rebuild by hand

Zoho Sites has no export for page structure, so the guide says to save HTML, CSS and media files manually and note each page's name and SEO settings. After rebuilding the pages under Sites, Websites or Funnels, remove the custom domain in Zoho's admin panel and add it in HighLevel under Settings, Domains. Zoho Analytics reports do not transfer either, so export any figures you want to keep before closing the account.

  • Users: add each one under Settings, Team, choose agency or sub-account access and a role, then copy permissions across a team
  • Zoho Bookings: recreate each service as a HighLevel calendar and set up calendar sync under Connections
  • Zoho Forms and Contracts: rebuild under Sites, Forms and Payments, Documents and Contracts
  • Lead scoring and workflow rules: recreate in the sub-account's scoring settings and under Automation, Workflows
