The short answer
HighLevel keeps a canceled account's data for 90 days, and you can reactivate within that window to get it back. Sub-accounts lose access straight away. Phone numbers and A2P registrations are deleted after 14 days and are billed until then. After 90 days the agency account, every sub-account and their data are permanently deleted, and HighLevel says it cannot restore them.
The timeline after you cancel
The Terms of Service say the same thing in legal language: HighLevel retains data for 90 days after termination or cancellation and then reserves the right to delete it permanently. The help article is firmer about the outcome and says deleted account data cannot be restored after the retention period. If there is any chance you will return, put the 90 day date in your calendar on the day you cancel.

- Day 30: any wallet balance you have not asked to have refunded becomes HighLevel's

What to export first
HighLevel's help article recommends downloading anything important before you cancel and names contacts, conversations, calendars, funnels, automations and financial records. A snapshot can preserve the setup of a sub-account, such as workflows, funnels, forms and calendars, but it leaves out contacts, appointments and conversations. It is also stored in your agency account, so it helps only if you reactivate in time or first share it to another agency account using a snapshot share link. Save invoices and payment history separately for your own records.
Keeping data without a full plan
If you want your data to outlast the 90 days, HighLevel offers a Pause Account plan at $27 a month as an alternative to canceling. It keeps contacts, conversations, opportunities, funnels, workflows, calendars, templates, media and transaction history, with funnels and workflows moved to draft. Phone numbers and A2P registrations are still deleted after 14 days, marketplace and reselling subscriptions are canceled, and domain renewals fail while the account is paused.
Client accounts and your customers' records
If you run client sub-accounts, canceling your agency account ends their access as well, because sub-accounts sit under the agency. Tell clients before you cancel and give them time to export their own contacts and records or move to another setup. If you bought HighLevel through another agency rather than directly, that agency's administrator handles the cancellation, so ask them how your data will be exported and when it will be deleted.
