The short answer
An AI receptionist for property managers built on HighLevel Voice AI costs about $0.24 per answered call, or $96 a month for 400 calls averaging 3 minutes, phone line included. Roughly 140 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Answer vacancy questions
Gives rent, deposit, availability date, pet rules and application steps for each listed unit from the knowledge base, and books a showing on the leasing calendar.
Log a maintenance request
Collects the tenant's name, property, unit number, the problem, whether it is getting worse and the best entry times, then creates a task and texts the tenant a confirmation.
Screen for emergencies
Asks a fixed set of questions about active water, heat, sparking outlets, gas or a door that will not lock, and transfers the call to the on-call number when an answer points to an emergency.
Take owner messages
Records which property the owner is calling about and what they need, such as a statement question or a repair approval, and assigns a task to their portfolio manager.
What to send to a person
- Reasonable accommodation requests, such as an assistance animal or an accessible parking space
- Rent disputes, late fee waivers and payment plans
- Application decisions and any adverse action notice
- Gas smells or fires, after telling the caller to leave and call emergency services
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical property management company: 400 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $81.60 | $13.98 | $96 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $105.60 | $13.98 | $120 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $240.00 | $13.98 | $254 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $13.98 | $111 | $0.28 |

Compared with staff time
Those 400 calls take about 20 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $365, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThank you for calling Oakline Property Management. I'm the office's virtual assistant. Are you a current resident, a property owner, or looking for a place to rent?
CALLERI'm a tenant at 18 Alder Court, unit 4. Water is coming through my ceiling.
AI AGENTI'm sorry, that needs attention now. Is the water still dripping, and is it near any lights or outlets?
CALLERIt's dripping steadily, but not near anything electrical.
AI AGENTThank you. Please put a bucket under it and move anything you can. I've logged an emergency for unit 4 at 18 Alder Court, and I'm transferring you to the on-call technician now. You'll also get a text with your reference number.
CALLEROkay, thank you.
Prompt tips
- Tip 1Give the AI a written list of what counts as an emergency at your firm, with the exact questions to ask, and tell it to transfer rather than judge borderline cases.
- Tip 2Store each vacant unit's rent, deposit, pet policy and available date in the knowledge base, and remove units the day they are leased so nobody books a showing for a rented home.
- Tip 3Tell the AI to ask for the property address and unit number before anything else, since tenants often assume the office already knows where they live.
Rules to watch
Fair housing in leasing calls. The Fair Housing Act makes it unlawful to refuse reasonable accommodations in rules, policies, practices or services when a person with a disability needs them, and to publish statements showing a preference based on a protected class. Have the AI take accommodation requests as messages for a person instead of answering them with the standard pet or parking rules.
Screening reports and adverse action. If an application is denied or approved on worse terms because of a tenant screening report, the FTC says the landlord must give notice naming the reporting company, stating that it did not make the decision, and explaining the right to dispute. Keep application decisions out of the AI and in your normal process.
Service texts versus marketing texts. Keep maintenance updates and rent reminders separate from promotional messages. FCC rules require consent for autodialed texts to cell phones and prior express written consent for telemarketing texts, so collect marketing consent separately, for example as its own checkbox on the rental application.
