The short answer

An AI receptionist for real estate agents built on HighLevel Voice AI costs about $0.24 per answered call, or $36 a month for 150 calls averaging 3 minutes, phone line included. Roughly 60 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Book a showing

Checks the agent's calendar, offers two open slots, confirms which address the caller means, asks whether they are pre-approved, and texts a confirmation with the property address and the agent's name.

Answer listing questions

Gives price, bedrooms, square footage, HOA dues and open house times from listing details the agent loads into the knowledge base, and says the agent will confirm anything that is not listed.

Qualify a seller lead

Asks for the property address, the timeline to sell, whether the caller is also buying, and a good time for a listing appointment, then creates an opportunity in the seller pipeline.

Route calls about active deals

When a client under contract calls about inspection, appraisal or closing, it takes the property address and the issue, then transfers or flags it as urgent for the agent or transaction coordinator.

What to send to a person

  • Questions about neighborhood demographics, schools or safety
  • Price negotiation and offer strategy
  • Anything about a signed contract, inspection response or earnest money
  • Upset clients or complaints about another agent

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical real estate agent: 150 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 150 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $137, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Sample call

Example AI receptionist call for a real estate agentIllustration

AI AGENTThanks for calling Dana Ruiz with Lakeside Realty. This is Dana's virtual assistant. Are you calling about a home you saw?

CALLERYes, the gray two-story on Birch Lane. Is it still available?

AI AGENTIt's still active. It has four bedrooms, it's listed at 489 thousand, and there's an open house Sunday from one to three. Would you like a private showing before then?

CALLERCould we see it Thursday after work?

AI AGENTDana has 5:30 or 6:15 on Thursday. Which works better, and are you already working with an agent?

CALLER5:30. No agent yet, and we're pre-approved.

AI AGENTYou're booked for 5:30 Thursday at 214 Birch Lane. I'm texting the confirmation now, and Dana will call before the showing to go over a buyer agreement.

CALLERGreat, thanks.

Prompt tips

  1. Tip 1Load each active listing into the knowledge base with price, beds, baths, HOA dues and showing instructions, and tell the AI to say it will check with the agent when a detail is missing.
  2. Tip 2Add a rule that the AI never describes a neighborhood by who lives there, and hands school, safety and demographic questions to the agent.
  3. Tip 3Have the AI capture pre-approval status and whether the caller already has an agent before booking, and save both to contact fields the agent can see.

Rules to watch

Fair housing in answers and ads. The Fair Housing Act bars housing discrimination based on race, color, national origin, religion, sex, familial status and disability, and it covers notices, statements and ads that show a preference or limitation. Write the prompt so the AI talks about the property, not who lives nearby, and sends questions about what kind of area it is to the agent.

Consent before AI calls and texts. The FCC ruled in February 2024 that AI-generated voices count as artificial voices under the TCPA, so outbound AI calls need the person's prior express consent, and prior express written consent when the call is telemarketing. Put clear consent wording on lead forms before any workflow calls or texts a new lead.

Buyer agreements before tours. Under NAR's settlement practice changes, effective August 17, 2024, MLS participants working with buyers must have a written agreement before touring a home. When the AI books a first showing for a new buyer, have the workflow create a task for the agent to get that agreement signed first.

Questions

What does an AI receptionist cost a real estate agent?
On pay per use, HighLevel charges $0.045 a minute for the voice engine plus $0.015 for a standard voice, then AI model tokens and $0.01165 a minute for the inbound phone line. At 150 calls of three minutes, that is about $32 a month before tokens. AI Employee Growth at $50 a month includes 100 Voice AI minutes, and Unlimited at $97 covers voice under fair use.
Can the AI receptionist book showings on my calendar?
Yes. HighLevel Voice AI can book appointments during the call on one calendar or route across several, so a team can have showings land with whoever covers that listing. It can text the confirmation and trigger a reminder workflow for the day before. Voice AI only works on LC Phone or Twilio numbers, so calls to an outside number must be forwarded or ported to one.
Will callers know they are talking to an AI?
They will if you tell them, and we suggest you do. Open the greeting with something like 'this is Dana's virtual assistant' so nobody feels misled when they meet the agent later. HighLevel offers more than 340 voices to choose from, and callers who want a person can be transferred. Check whether your state has its own disclosure rules for automated calls.
Can the AI call back new online leads automatically?
Yes. Outbound Voice AI calls can be triggered from a workflow seconds after a lead form is submitted. HighLevel limits these calls to 8am to 8pm in the contact's time zone and one call a day per number, and it requires consent language and identity verification before outbound calling is switched on. The form must collect consent to AI calls, because the FCC treats AI voices as artificial voices.
